What do I actually get on Free?
The full ADP claim workflow, by manual entry — orthotic, mobility, hearing and prosthetic applications, with the patient records behind them, up to 5 applications a month across 20 active patients. It is a complete claims tool, not a crippled clinic system. What it doesn't include is claim autofill, and the rest of the platform: scheduling, invoicing, Medfair Pay, fabrication projects and Combine AI.
What is claim autofill worth?
It's the difference between a 20-minute application and a 2-minute one. Once a patient and their device are in Medfair, the application fills itself from data you already entered. If you file claims regularly, it's the reason to be on Pro.
What happens at the end of the 30-day trial?
If you've upgraded, billing starts. If you haven't, your account reverts to Free — autofill switches off and the Free caps apply. Nothing is locked or deleted: every patient record, claim and file you created during the trial stays readable and exportable. We email you at day 21, day 27 and day 30, so a downgrade is never a surprise.
Do I need a credit card to start?
No. The trial collects no payment method, and Free never asks for one at all — a Free clinic has no invoicing, so it never touches our payment processor in any form.
How do you count seats?
A seat is a login. Pro includes 5, and each additional login is $20 a month. Staff in your directory who don't sign in, and clinicians on your booking roster who don't sign in, don't use a seat — those are free and unlimited. We count when you send an invite or approve a join request.
What if I add or remove staff mid-cycle?
Adding someone prorates immediately, so they can start working the same day — we never block you from adding staff. Removing someone credits at your next cycle.
Is tax included in the price?
No. All prices exclude tax. GST, HST or PST is calculated at checkout based on your clinic's province and shown before you confirm.
Where does my clinic's data live?
In Canada. Medfair runs on Canadian infrastructure and is built to PHIPA and PIPEDA requirements, on every plan including Free.
What happens to my data if I cancel?
You keep it. Cancelling moves you to Free rather than closing your account, so your claims and patient records stay readable and exportable. Full data export is available on every plan.
When should we be talking about Health System instead?
When you run more than one location, or when a single clinic goes past 20 seats. At that size the list price stops being the right answer and we'd rather build you a deal — plus the multi-location dashboard, SSO, and custom integrations only exist on that plan.
Prices are subject to change. Clinics already on a plan keep their sign-up rate through the current term. The 30-day Pro trial is one per clinic.
